PROCEDURES FOR ENTERING A PRODUCTION

1. Follow the entering procedures on the online registration form.  Please note that entry fees should be sent to the Kennedy Center, not to the regional chair.

2. In order to get respondents out to your show in a timely fashion, you must register online ONE MONTH PRIOR TO THE OPENING OF THE PRODUCTION. This must include all student design entries. Simply calling your circuit coordinator does not suffice. If the forms are not received ONE MONTH PRIOR TO THE OPENING OF THE PRODUCTION, we cannot guarantee that respondents can be scheduled for a production.

3. If your production is a new play (student or non-student), please also send two copies of the script to:

WHAT SHOULD YOU EXPECT AFTER A PRODUCTION HAS BEEN ENTERED?

Production Responses & Festival Consideration

1. Prior to the opening of your production your circuit coordinator will notify you of the respondents who have been scheduled to view your production. One person responds to Associate entries, Participating entries receive two respondents. When two respondents are viewing the production, we ask that the school provide lodging for one of the respondents.

2. When the production respondent arrives, he/she should be provided with a copy of the contact sheet (enclosed in this mailing) and two programs, one of which has been marked with the director's Irene Ryan nominee, and an indication of any actors who are not eligible for an Irene Ryan nomination.

3. The respondent(s) will provide an oral response to the production immediately following the performance.

4. The production respondent(s) may nominate one or two additional student actors for the Irene Ryan Acting Competition. As a rule, these selections are not discussed with the director. The respondent(s) may also nominate company members for Meritorious Achievement Awards. The respondent may or may not solicit Meritorious Award input from the director. These awards cannot be given in the major design areas.

5. The respondent will submit a report on the Ryan nominees and Meritorious Achievement Awards to the circuit coordinator who will pass this information on to the regional chair and Irene Ryan Coordinator. The respondent(s) may also recommend a specific scene from the production for the Festival of Invitational Scenes. If your show is being considered for the Festival of Invitational Scenes, your circuit coordinator will notify you and verify your interest in being considered. The scenes which are invited to the festival will be selected at the December selection meeting.

6. If your production is a Participating production, the respondents may recommend the show as a festival possibility. If recommended, the circuit coordinator and regional chair will make every effort to have two members of the regional governing board view the production and share their reactions at the December selection meeting. In many cases, members of the governing board serve as the preliminary respondents, killing two birds with one stone. If the production is being held for festival consideration, either the circuit coordinator or the regional chair will notify the school's designated contact person and request production ground plans.

7. The productions which are being invited to the festival will be selected at the December selection meeting. If a production is being invited to the regional festival, the production's designated contact person will be notified immediately after the selection meeting.

8. Students who have been nominated for the Irene Ryan Acting competition or who have received Meritorious Achievement Awards will be notified at the end of each semester.

Design Responses

1. Prior to the opening of your production, your circuit coordinator will notify you of the design respondent who has been scheduled to view the production.

2. After the production, the design respondent will critique the design and review all sketches, renderings, models, etc. which would be included in the design presentation if the designer were advanced to the regional festival. These response sessions are usually private, including just the respondent and the student designer(s).

3. The only award available to student designers is an invitation to present the design at the regional festival. Only the design respondent can determine if the student design is worthy of such an advancement. No Meritorious Achievement Awards can be given in the major design categories (sets, lighting, costume, make-up, sound and properties).

4. The design respondent will notify the circuit design coordinator of his/her recommendation. This information will be passed on to the regional design coordinator.

5. At the end of each semester, the regional design coordinator will notify those students who have been advanced to the regional festival.

The Board of Governors of KCACTF - Region VIII will make every effort to ensure that our respondents function as allies to your program and educators to your students. We will further strive to give each and every production entered equal and thorough consideration. We can best fulfill this pledge if we receive all registration information one month prior to the opening of the production.
